Command Center: Why it still feels chaotic

Most owners I talk to have more software than ever. A CRM, a project tool, three spreadsheets, a dashboard nobody opens. And they still feel like they're the only one who really knows what's going on.

That's not a software problem. It's a clarity problem.

Every new tool gets added to solve one isolated pain. Nothing gets removed. Nothing gets reconnected. So instead of one picture of the business, you've got ten partial ones, and your head becomes the place where they get stitched together.

Growth doesn't break businesses. Unclear systems do.

Try this this week: list every tool your business pays for (and if you really want to level up, include the FREE ones too). Next to each one, write who owns it and what decision it helps you make. The ones with a blank in that last column are where the chaos is hiding.

 

AI Corner: What AI actually is (and isn't)

Tools like ChatGPT and Claude are prediction engines. They've read an enormous amount of text, and they're very good at predicting what a useful next word looks like. That makes them great at drafting, summarizing, organizing, and thinking out loud with you.

What they're not: a source of truth, a mind reader, or a replacement for your judgment. They don't know your business unless you tell them.

Over this season we'll dig into what that means in practice: tokens, context, memory, why AI makes things up, and how to get real work out of it.

 

Experiments and Lab Notes

This week's experiment: open whichever AI you use and ask it, "Why do I feel overwhelmed when I already have systems?" Then give it the real picture: your tools, your team size, and what keeps landing on your desk.

For me, I was told it was because the time I was spending on building things wasn't actually aligned with my goals. I love building things, and it's been super exciting for me to do that. AI has magnified my ability, but you got to make sure the work you're doing every day is actually moving your business or your life forward the way that you want. 

The interesting part usually isn't the answer. It's what you had to explain to get a good one.

Same goes for your business. If you don't decide what matters, your inbox (or Slack, Teams, text messages, etc.) will decide for you.

What I'm Working On

Simplifying.

For the past few weeks I was building my own course platform out of free or cheap tools I had access to: sign-ins, payments, video delivery, all of it. Free felt smart. But what I was building came with a hidden cost. Because I could build anything, I kept trying to build the perfect thing. And perfect never ships.

So I paid for a platform. It came with constraints. It doesn't do everything exactly the way I'd build it (although it was a lot closer than I had imagined). And those constraints are exactly what unlocked me. There was nothing left to perfect, so I could just run.

The course went live. This newsletter got moving. All in a single day.

The funny part? Claude, the AI I work with every day, had been telling me for weeks: "Dude, you're distracting yourself by building stuff." It was right. But those reminders didn't do me any good until the moment I actually acted on them.

That's the lesson of this whole season. Clarity isn't knowing what to do. It's doing it.
